How to Organise Passwords for Digital Estate Planning

Never write your passwords into a shared document. Here's the safer method — using a password manager and emergency access, not a spreadsheet.

One of the most common (and riskiest) mistakes in digital estate planning is treating it as a single document with every password written inside it. If that document is ever lost, copied, or accessed by the wrong person, every account it lists is compromised at once. There's a better way.

Why a password manager solves this

A password manager stores every real password behind one master password, encrypted, and known only to you. Your digital estate inventory then only needs to record two things per account: that it exists, and what you'd like done with it — never the password itself.

Setting up emergency access

Most reputable password managers, including free options like Bitwarden, offer an emergency access feature. This lets you nominate a trusted person who can request access to your vault. Critically, this typically isn't instant — there's usually a waiting period you control, during which you can decline the request if you're simply on holiday rather than actually needing them to step in. If you don't respond within that window, access is granted.

This single feature solves the core problem of digital estate planning: your executor gets a genuine way in, without you having to hand over your passwords while you're still using them yourself.

What to actually put in your inventory

With a password manager handling the credentials, your written inventory becomes far simpler and much safer to have lying around:

• Which accounts exist, organised by category
• What you want done with each one (keep, close, transfer, memorialise)
• Which password manager you use, and who has emergency access set up
• Nothing resembling an actual password, PIN, or security answer

The three-layer approach

A robust setup layers three things together, so no single point of failure locks your executor out entirely:

1. The password manager — holds real credentials, released via emergency access on a time delay
2. The inventory document — human-readable, lists accounts and instructions, never passwords
3. A printed backup — kept somewhere physical, like a fireproof safe or with a solicitor alongside a will, as a fail-safe if technology fails entirely
